- Account Information: Name, email address, provider type (NP, PA, MD, DO, RN), specialty, certifying body, and state of practice.
- Credential Data: Licenses, certifications, malpractice insurance details, DEA registrations, facility affiliations, payer enrollments, CE/CME records, and expiration dates.
- Uploaded Documents: PDFs and images of licenses, certifications, CE certificates, malpractice policies, and other professional documents.
- Usage Data: Log data, pages visited, features used, browser type, and IP address.
- Communications: Emails sent to or received from the Service.
3. How We Use Your Information
We use your information for the following purposes:
- To provide and maintain the credential management service.
- To process and display your uploaded documents and credential data.
- To send transactional emails (account verification, password reset, expiration reminders).
- To use AI-powered document parsing (via Anthropic Claude API) to extract information from your uploaded documents for your convenience.
- To track credential renewal deadlines and continuing education progress.
- To generate credential packets for sharing with employers and facilities.
- To improve the Service.
We do NOT use your data to train AI models. Documents sent to the AI API are processed in real-time and not retained by the AI provider for training purposes.
4. AI Document Processing
When you upload a document for AI parsing, the document content is sent to Anthropic's Claude API for data extraction. This processing happens in real-time. Anthropic's API does not retain your document data after processing. Refer to Anthropic's Privacy Policy for their data handling practices.
5. Data Storage and Security
- Data is stored on secure servers (Railway/PostgreSQL).
- Passwords are hashed using industry-standard encryption (bcryptjs).
- Authentication uses secure JWT tokens.
- We use HTTPS for all data transmission.
- Uploaded documents are stored with SHA-256 checksums to ensure file integrity.
- While we implement reasonable security measures, no method of electronic storage is 100% secure, and we cannot guarantee absolute security.
6. Data Sharing — We Do NOT
- Sell your personal information to third parties.
- Share your credential data with employers, state boards, or insurance companies without your explicit consent.
- Use your data for advertising or marketing purposes.
- Share your uploaded documents with anyone other than you.
7. Data Sharing — We May Share Data
- With service providers necessary to operate the platform (hosting, email delivery, AI processing).
- If required by law, subpoena, or legal process.
- To protect our rights or safety, or the rights and safety of others.
When you use the sharing feature to create credential packets, document access is limited to the specific recipients and links you authorize.
8. Email Communications
- Transactional emails (verification, password reset, credential expiration alerts) are sent as part of the Service.
- You may opt out of non-essential notifications in your account settings.
- You cannot opt out of critical account emails (verification, security alerts).
9. Your Rights
- Access your data at any time through your account.
- Export your data.
- Request deletion of your account and associated data by contacting support@mycredentialwallet.com.
- Correct inaccurate information through your account settings.
10. Data Retention
We retain your data for as long as your account is active. Upon account deletion, we will delete your data within 30 days, except as required by law. Anonymized or aggregated data that cannot identify you may be retained indefinitely.
11. Children's Privacy
The Service is not intended for anyone under 18 years of age. We do not knowingly collect personal information from children under 18.
12. California Privacy Rights (CCPA)
California residents have additional rights under the California Consumer Privacy Act, including the right to know what personal information is collected, request deletion of personal information, and opt out of the sale of personal information.
